How to calculate a stag do budget
- Set the number of people paying an equal share. If you are treating the groom, work out that contribution separately before collecting money.
- Enter the total accommodation quote for every room and every night. The calculator divides it across the group once; do not enter a nightly or per-person hotel price here.
- Enter each traveller's return transport, activities, nights out, meals, transfers and extras for the entire trip. Include travel to your departure airport as well as transport at the destination.
- Set a contingency you are comfortable with. It is added to the spending subtotal, while any refundable damage deposit stays separate.
Worked example: ten people with a £1,000 accommodation quote
Suppose each person allows £100 for return travel, £50 for activities, £80 for nights out, £60 for meals, £20 for transfers and £10 for extras. Those per-person costs total £320. Add £100 each for the £1,000 accommodation quote: the base cost is £420 per person, or £4,200 for ten people.
With 10% contingency, the budget becomes £462 each. A £300 refundable deposit for the group adds £30 each to the cash required, so the organiser would need £492 per person available. These are example inputs to explain the calculation, not quotes for a destination.
What to check before collecting money
- Confirm that every quote covers the same dates and headcount, and that the accommodation accepts your group.
- Check baggage, local taxes, booking fees, bed arrangements and transfer costs. An empty calculator field counts as zero; it does not mean the service is free.
- Record payment deadlines and cancellation terms. The refundable deposit shown here is a damage deposit; a booking instalment is part of the trip price and should not be added twice.
- Agree how you will return unused contingency and recovered deposits. Recalculate if someone drops out, because fixed accommodation costs are then shared by fewer people.

Does this calculator show current booking prices?
No. It adds the quotes or allowances you enter. It does not fetch prices or confirm availability. Use the planner to explore options and check final amounts with providers.
How is accommodation divided?
Enter the full quote for all rooms and nights. It is divided equally by the number of people sharing the cost. All other spending fields are per person for the whole trip.
Are refundable deposits part of the trip cost?
A refundable damage deposit is shown separately because you need the money available but may get it back. It is added to upfront cash, not to spending or the contingency calculation. A non-refundable charge belongs in your trip costs.
What happens if someone drops out?
Change the number of people and update your supplier quotes. The calculator spreads the accommodation total across the remaining people. It cannot determine which suppliers will refund a cancellation.
