The first message to send the group
Introduce yourself as the organiser, explain the groom’s outline idea and give everyone a clear next step. Ask which dates work and invite private budget replies. Avoid choosing an expensive destination before you know what people can afford.
Before deposits: compare the same weekend
Use the same dates, headcount and room-sharing arrangement for each destination. Include airport travel, meals, activity costs, luggage and taxes. Keep a refundable damage deposit separate from the expected spending, but make sure the group has the cash available.
Check that the accommodation accepts your group, then read each provider’s cancellation and payment terms. A booking instalment is part of the price, not an extra cost to add again.

- As soon as you take on the job: agree the guest list, the groom’s preferences and the budget conversation.
